Meeting follow-up

Turn meeting notes into action items with AI—without making up the details.

Meeting notes are often incomplete. AI can help format what was said into a usable follow-up, but it should separate confirmed actions from missing information instead of smoothing over the gaps.

Keep the source material bounded.

Start with your notes, transcript excerpt, or agenda. Tell the model to use only that material. This is especially important for owners, dates, decisions, and commitments: a polished list is not useful if it quietly adds facts that were never agreed.

If your notes include a participant list, attach it. If they do not, leave ownership blank rather than asking the model to infer it from context.

Ask for a reviewable structure.

Use a table or short list that makes gaps visible. The output should distinguish confirmed action items from open questions and should retain uncertainty where the notes are unclear.

Notes to action list

Based only on the meeting notes below, create an action list with: task, owner, deadline if stated, and source detail. Do not invent owners, dates, decisions, or commitments. Put anything unclear in a separate follow-up list. Keep each item concise. [Paste meeting notes]

Review before you send.

Compare each action item against the notes. Confirm the owner and due date with the people involved, especially when a decision was implied rather than explicit. Then turn the verified list into a short follow-up.

Verified follow-up email

Draft a concise follow-up using only the verified action list below. Include the purpose of the meeting, the agreed actions, owner, and deadline where confirmed. Put open questions in a separate final section. Keep the tone direct and professional. [Paste verified action list]

Make the workflow reusable.

Save the prompt alongside your recurring meeting format. A consistent agenda and action-list structure make the output faster to review. For broader prompt design, read AI prompts for productivity. For the next message, use this work-email workflow.
