How to write better work emails with AI—without sending an AI-shaped message.

AI can reduce the friction of a blank draft. It cannot know your relationship, authority, or unstated context. Give it the facts, request a clear format, then take responsibility for the final message.

Give the draft a job and a reader.

The strongest email prompts include the recipient, relationship, purpose, relevant facts, and the action you want next. Tell the model what not to include as well—especially promises, sensitive details, or a tone that does not fit the relationship.

Use AI to create an editable first draft, summarize a long thread, or prepare a follow-up. Do not use it as the final source of facts or as a substitute for reading the conversation.

Use this draft-review-send loop.

  1. Brief. Write the core point and desired next step in your own words.
  2. Draft. Ask AI for one concise version with a subject line if useful.
  3. Verify. Check names, dates, commitments, attachments, and claims against the source material.
  4. Personalize. Adjust formality, vocabulary, and the opening so it sounds appropriate from you.
  5. Send deliberately. Read it once from the recipient's perspective before it leaves your outbox.

Follow up without pressure

Write a polite follow-up to the email thread below. Restate the decision or item awaiting a response, suggest a specific but non-pushy next step, and avoid implying agreement where none exists. [Paste thread or notes]

Guardrails worth keeping.

  • Do not paste confidential, personal, regulated, or client-sensitive information into a tool unless your organization has approved that use.
  • Do not send factual claims, commitments, legal language, pricing, dates, or names without checking them yourself.
  • When tone matters, give the model a short sample of your writing or state the desired level of directness.
  • Keep the final accountability with the person sending the email—not with the draft tool.
